Resolve the Outlook Send Receive Error 0x80040900

Microsoft Outlook is a heavily employed email client. However, despite being a highly efficient program, it encounters various errors. The Outlook send receive error 0x80040900 is an error code that occurs when there’s a problem in your Outlook account settings.

Apart from that, a poor internet connection also hinders communication between you and the mail server.

If left unresolved, the error will make it impossible for you to send and receive important messages. So, use the troubleshooting in this article to resolve the problem quickly.

Ways to Fix Outlook Send Receive Error 0x80040900

To fix the error, you need to carefully check your mail server settings. Apart from that, ensure that your internet connection remains fully active and stable.

  1. Review your Mail Server Configuration

You must set up your email account in MS Outlook properly. Otherwise, you will get this error. Use these settings.

  • Choose the incoming mail server type, either POP or IMAP.
  • Ensure you input the correct incoming mail server, name, and address.
  • After that, check if the outgoing mail server’s name and address are correct.
  • Examine whether you’ve typed in the correct incoming and outgoing mail server port numbers.
  • Find whether the servers use SSL. If they do, change the settings accordingly.
  • Now, open Outlook and head to ‘File.’
  • Then, go to ‘Account Settings.’
  • Double-tap your email account in the ‘Email’ tab.
  • You can now modify or see the settings.
  • After checking the incoming and outgoing server names, click ‘More settings.’
  • Head to the ‘Outgoing Server.’
  • Place a check on the corresponding box.
  • In order to see if you’ve entered accurate port and SSL settings, choose the ‘Advanced’ tab.
  • The incoming server port is 993 when SSL is turned on.
  • The outgoing server port is 465 when SSL is switched on
  • Tap ‘OK’ and use Outlook again.
  1. Set a Low Server Timeout Duration

In Outlook, the server connection timeout period is 1 minute by default. But if you need to exchange massive attachments, this duration is insufficient. So, you may face the Outlook send/receive error. Use this process to lower the timeout duration.

  • Tap ‘File’ in Outlook.
  • Click ‘Account Settings’ and the same option again.
  • In the settings box, tap ‘Change.’
  • You will see a ‘Change Account’ dialog box.
  • Tap ‘More Settings.’
  • In the window that appears, tap ‘Advanced.’
  • Increase the duration of Server Timeouts.
  1. Inspect your Firewall Settings

It’s possible that the security program or firewall you are using is causing the Outlook send/receive error. To rule out this cause, turn off the firewall temporarily and see if the error occurs on Outlook. If it doesn’t, you should disable the firewall or use another security software that doesn’t cause the error.

It is also a good idea to examine the firewall settings.

  • Enable outlook.exe to access the internet.
  • Turn on port 110 if you use the POP3 incoming mail server that does not have SSL enabled.
  • Enable port 995 if you have a POP3 incoming mail server with SSL enabled.
  • Turn on port 143 if you use an IMAP incoming mail server without SSL enabled.
  • Enable port 993 if you use an IMAP with SSL enabled.
  • Turn on port 25 if your SMTP does not have SSL enabled.
  • Enable ports 587 or 465 if your SMTP has SSL enabled.
  1. Start your Router Again

An easy fix to resolve Outlook send receive error is to restart your router. After that, see if the error shows up in Outlook.

  • To restart, hit the ‘Power’ button on your router. You can also take away the power cord of your router.
  • Then plug the power cord back into its socket.
  • Now, wait for half a minute.

Now you don’t need to feel worried whenever you encounter Outlook send receive error 0x80040900. You can resolve it by checking your internet connection and ensuring that your account server settings are correct.
